We're looking for a Centralized Scheduler to be the friendly, helpful voice and steady hand behind the scenes, making sure our patients feel supported, informed, and cared for before they even walk through our doors.

At Wilson Medical Center, this role is an essential part of our Patient Financial Services team. We're seeking someone who is detail-oriented, service-driven, and committed to creating a smooth, positive experience for both patients and providers. As the Centralized Scheduler, you'll coordinate appointments across all hospital departments and our specialty clinic. Your clear communication, strong organizational skills, and compassionate approach will help ensure that every patient starts their journey with confidence and clarity.

Key Responsibilities:

• Schedule, confirm, and cancel appointments for patients across multiple departments and clinics with accuracy and professionalism.
• Communicate preparation instructions for tests and procedures, ensuring patients and providers are fully informed.
• Pre-register patients for upcoming procedures and verify insurance coverage through online portals or direct contact with insurance companies.
• Respond promptly and professionally to inquiries via phone, email, fax, or in person, serving both internal and external customers.
• Maintain accurate scheduling and electronic filing systems in support of departmental operations.
• Collaborate with other team members and departments to ensure seamless scheduling and patient flow.
• Review and process prior authorization requests for medical procedures, medications, diagnostic tests, and other services.
• Support additional duties, responsibilities, and special projects as assigned.

Qualifications:

• High school diploma or equivalent required; post-secondary education in healthcare or business is preferred.
• Previous experience in scheduling, patient access, or a related healthcare administrative role is strongly preferred.
• Proficient in electronic health records (EHR), scheduling systems, and Microsoft Office applications.
• Strong interpersonal and communication skills, with the ability to manage multiple tasks and priorities.
• Demonstrated ability to maintain a high level of accuracy and attention to detail.
